Your first day with the OS, in six steps.

1. Sign in and open your shop

We create your OS with the email you gave us. Go to os.gratefulprintsph.com/login and sign in with that email. Google sign-in works for Gmail addresses, and Facebook, Apple and mobile number sign-in are also available.

Your shop opens on the Today screen. Bookmark it on your phone's home screen so it opens like an app.

2. Finish the setup guide

On Today, tap Finish setting up your shop. Fill in the business basics: shop name, main branch, opening hours, working days and payroll schedule.

Every other step can be skipped and done later. The guide remembers what is done.

3. Add your team and their roles

Add each person with their role and department, then send them their invite link. They sign in with their own Grateful Prints account, so you never handle their passwords.

  • Manager: runs the day with you.
  • Billing or cashier: orders, payments and customers.
  • Designer: the design queue and proofs.
  • Production: their jobs on the production board.
  • Inventory: stock and purchases.
  • Quality control: the QC queue.
  • Delivery: release and delivery.

4. Add your products and prices

Add each product with its unit (piece, box, square foot), its regular, reseller and wholesale prices, any bulk prices, and its costs. If you add the materials it uses, stock comes down on its own when you produce it.

5. Add your stock

Add your ink, paper, vinyl, tarpaulin, shirts and other materials with how much you have. Set a reorder level for each, so the OS warns you before you run out.

6. Take your first order

Tap New order, or Walk-in for a quick counter sale. Choose or add the customer, add the items with their specs, and set the deadline. The job ticket is created with the order and shows up on the production board.

For owners

Run the shop from the numbers, not from memory.

Read your Today screen

Today shows money (sales, expenses, estimated profit, unpaid balances), orders and production (new, in production, due today, overdue, ready), stock, machines and who came in. Anything that needs action is listed under Needs attention, and each line opens the right screen.

Record a payment or deposit

Open the order and tap Receive payment. Choose deposit or payment, the method (cash, GCash, Maya, bank, card or other) and the amount. The order shows paid, partial or unpaid, and the balance follows the job to release.

Price a job with a quotation

Open Quotations and tap New quotation. Materials, production, finishing and labor, plus your markup, give the selling price. When the customer agrees, turn the quotation into an order.

Check your numbers

Open Sales, then Reports. Choose a report (sales, expenses, profit, best sellers, turnaround, waste, balances and more) and a period: today, this week, this month or your own dates. Download any report as a spreadsheet.

Set your quality check list PRO

Write the checks every job must pass before it is ready, for example color, size, spelling and trimming. Rejects and reprints are counted, and they show in the waste report.

Get help from Grateful Prints support

Open a support window when you want our team to look at your OS with you. Support can look but not change anything, the window closes on its own within 72 hours, and every page they open is written to your audit trail.

When you want marketplace orders, connect your OS to your approved Grateful Prints partner account. Marketplace orders then arrive as job tickets on your production board. Your own records stay as they are.

Know your jobs and keep them moving.

Find your jobs

Open Production and choose My jobs to see only your work, or open Team, then My day.

Move a job forward

On the job card, tap Start when you begin, Pause if you have to stop, and Complete when you finish. The job moves to its next stage, like finishing or quality check, and the next person sees it.

Report a problem on a job

Tap Report issue on the job and say what is wrong: machine, material, artwork or other. The owner and manager see it on Today, so nobody has to go looking for them.

Time in and out

Open Team, then My day. Time in when you arrive and time out when you leave. If you forget to time out, the OS reminds you. Ask for overtime, leave or an advance under Team, then Requests.

Release a ready job

Open the ready order and choose how it goes out: picked up or out for delivery. If the order still has a balance, collect it first. The OS flags ready jobs with a balance.

Print-ready file checklist
SizeDesign at the final print size.
Resolution300 dpi at final size for small prints like cards, stickers and photos. Tarpaulin is viewed from a distance, so 100 to 150 dpi at full size is enough.
ColorDesign in CMYK for print. Very bright screen colors, like neon green or electric blue, print duller.
BleedAdd 3 mm (0.125 in) on every side of anything that is trimmed.
Safe areaKeep text and logos at least 3 mm inside the trim line.
FontsConvert text to outlines or embed the fonts.
FileA print-quality PDF, or PNG or JPG at full size. Keep the editable file (AI, PSD, CDR) in case the shop needs to adjust it.
Tarpaulin layouts

Set up the artboard at the exact size in feet or inches, for example 3 x 6 ft. Leave about 1 inch clear around the edges for eyelets, and keep important text well inside that margin.

A 3 x 6 ft tarpaulin at 100 dpi is 3,600 x 7,200 pixels. Send it as a PDF or a high-quality JPG.

Stickers and cut lines

Draw the cut line as its own path on a separate layer, as a spot color the cutter recognizes (many shops name it CutContour). Extend the artwork 2 to 3 mm past the cut line, and keep text at least 3 mm inside it. Ask the shop which name their cutter uses.

Shirt prints

Send the artwork at final print size, 300 dpi, as a PNG with a transparent background. Ask the shop about the method (for example DTF, sublimation or vinyl), because each one has its own limits on fabric and color.

Proofs and approval in the OS

Open the order and tap Add artwork. Choose what you are adding: a file from the customer, a proof for the customer or the final print file. If the job needs the customer's approval, it waits in Customer approval until the proof is approved. Mark it internal when no customer approval is needed.

Ask GP COMMAND

Ask your shop a question, in Bisaya or English.

How to ask

Open More, then Ask GP, and type a plain question. Ask GP answers from your shop's own records and links you to the screen with the details. Each person only sees answers their role allows: production staff asking about sales get "no access", never the number.
